What you need before your first run.

Do I need to connect my Amazon account?

Not for every tool. The ASIN-based tools (listing audit, image audit, AI intent audit, AEO tracker, rank tracker, product monitor, reverse ASIN, niche radar) run from an ASIN alone. The Search Query Audit reads the Search Query Performance report, either as a file you export from Brand Analytics or pulled for one ASIN through your connected Seller account. Several tools work from a one-time connection instead of a file. With your Amazon Ads account connected: the Ads Audit, which reads the most recent 30 days of your campaigns whose orders Amazon has finished attributing, and campaign creation; on the Brand plan and above, and during the free trial, also the daily ads monitor, ads dashboards and the automation-rules engine; on Enterprise, AMC Insights. With your Amazon Seller account connected: the Profit Dashboard, Returns & Restock, the Inventory Planner and the Reimbursement Finder; on the Brand plan and above, and during the free trial, also applying listing fixes, the Repricer, Auto Review Request, Buyer Messages and the daily listing, inventory and account health checks. Through the Selling Partner API, that Seller connection pulls inputs on your behalf once granted (listing and catalog content, pricing and fee data, order and sales history, financial transaction events, Brand Analytics search-query performance, and the marketplaces your account sells in). Every connection is yours to grant, and you can revoke it at any time; the only changes we ever make to your Amazon accounts are a listing fix you approve field by field, a price you approve one at a time in the Repricer, ad changes you approve one by one, and, on the Brand plan and above or during the free trial after a one-time consent, dayparting, negative keywords and pausing ads on low or no stock; and the only messages your buyers ever get through us are Amazon's own review request and a warranty document you upload (on the Brand plan or the free trial, only after you authorize them).

What do I need before I start?

It depends on the tool:

  • ASIN-based tools: listing audit, image audit, AI intent audit, AEO tracker, rank tracker, product monitor, reverse ASIN, niche radar. You only need an ASIN, and it can be a competitor's.
  • Ads tools: ads audit, campaign creation, ads automation and AMC Insights. Connect your Amazon Ads account; see Connected ads & automation below.
  • Search query audit: upload the Search Query Performance export from Brand Analytics, or pull that report for one ASIN through your connected seller account; see Where report data comes from below.
  • Seller-account tools: profit dashboard, returns & restock, inventory planner, reimbursement finder, repricer, listing fixes, review requests and buyer messages. Connect your Amazon seller account on the Connections page; they pull the data they use for you, so there is nothing to export.
What are the free trial limits?

The trial runs 14 days with no credit card. You can audit up to 3 distinct ASINs per day, and that daily allowance resets at midnight US Eastern time. Each report tool gets one run for the whole trial (two for reverse ASIN), and you can track up to 5 keywords, 5 monitored ASINs (2 of them checked daily) and 10 ASINs in the AEO Tracker. Ads automation, listing write-back, Auto Review Request and Buyer Messages all run live on the trial, after the same one-time consent or approval as on Brand, in smaller amounts: 3 automation rules, 3 listing fixes, and up to 5 review requests and 5 warranty messages a day.

Two weeks rather than one is deliberate: the scans that matter run weekly, so a 14-day trial spans two of them — and the second scan is the one that can show you what changed. The trial also includes every one of the Brand plan's connected-account tools, live, so you can watch the agent act for you before you choose.

Trial limits are the same whichever plan you pick at signup. Nothing is charged when the trial ends: you only pay if you subscribe, and if you subscribe with more than two days of the trial left, the first charge waits until the trial ends. The Reimbursement Finder shows its findings during the trial; marking claims as filed starts on a paid plan.

Which tools are included in my plan?

Every plan includes the full diagnosis suite. Plans differ in capacity and in how deep the tools reach into your Amazon account: how many ASINs you can audit and track, and how many report runs you get per billing period. See pricing for the full breakdown.

AMC Insights is an Enterprise-plan tool, and it requires that you've already enabled Amazon Marketing Cloud on your own advertising account. The Reimbursement Finder is included on every plan, Pro included. It sweeps Amazon.com (US) only for now (Amazon.ca and Amazon.com.mx are not swept yet) and carries a 10% success fee only on reimbursements Amazon pays for claims you marked as filed in the Reimbursement Finder; reimbursements Amazon makes on its own, and claims you file without marking them here, cost nothing.

One tool can read a file you export from Seller Central. Here's which one, and where the connected tools get their data instead.

Ads Audit — no export needed

Ads Audit doesn't use an export either: connect your Amazon Ads account on the Connections page, then start the audit from the Ads Audit page. It reads, directly from the account, the most recent 30 days of your campaigns whose orders Amazon has finished attributing, and flags wasted spend, high-ACOS bids, and negative-keyword candidates.

Search Query Audit — Search Query Performance report

Export the Search Query Performance report from Brand Analytics in Seller Central.

This report requires Brand Registry. If you don't see Brand Analytics in your Seller Central menu, your account isn't enrolled and this tool won't have data to read.

With your Seller account connected you can skip the export: the Search Query Audit page can pull this report for one ASIN directly.

Profit Dashboard — no export needed

Profit Dashboard doesn't use an export: it pulls your financial transactions (sales, refunds, Amazon fees, ad charges, service fees and reimbursements) through your Amazon seller connection.

Connect your seller account on the Connections page, pick a report window of 30 to 365 days on the Profit Dashboard, then press Sync from Amazon. Longer windows take longer to arrive from Amazon — several minutes or longer for 365 days. Reports built earlier from an uploaded transaction report stay in your past reports.

Enter each SKU's product cost once in the dashboard and it's saved for every future report; that's what turns Amazon proceeds into true net profit. Saving costs doesn't use any quota.

Returns & Restock — no export needed

Returns & Restock doesn't use an export: it pulls your FBA customer returns, sales by ASIN and FBA inventory through your Amazon seller connection to show why units come back and what to reorder.

Connect your seller account on the Connections page, pick a returns window of 30 to 365 days on the Returns & Restock page, then press Sync from Amazon. The data takes a few minutes to arrive from Amazon. Reports built earlier from uploaded files stay in your past runs.

Inventory Planner — no export needed

Inventory Planner pulls your FBA Manage Inventory Health report straight from Seller Central through your Amazon seller connection and turns it into reorder quantities, overstock calls, and storage-fee risk.

Connect your seller account on the Connections page, then press Sync from Amazon on the planner. The report takes a few minutes to arrive from Amazon. Plans you built earlier from an uploaded report stay in your plan history.

My upload was rejected. What went wrong?

Almost always the wrong report, or a re-saved file. Check three things:

  • It's the Search Query Performance report from Brand Analytics, not a similarly named one. Seller Central has several reports with close names.
  • You're uploading the file exactly as Amazon generated it; opening it and re-saving in a different format changes the structure the parser expects.
  • The export actually finished. A report requested but not yet generated downloads as an empty or partial file.

If the file is right and it still fails, send it to support and we'll look at it directly.

Plans & limits

What counts, what doesn't, and when it resets.

What counts against my ASIN limit?

Distinct ASINs per billing period, not runs. Re-auditing an ASIN you have already audited this period never uses a new slot.

Audit and tracking limits are separate pools with separate sizes: a Pro plan can audit up to 25 ASINs and separately track 5 at a time. Tracking is smaller because it never stops — every tracked ASIN is re-scanned every week against its tracked shopper queries, whether or not you log in, while an audit runs once when you ask for it.

Tracking slots are swappable. Stop tracking an ASIN and the slot frees up immediately for another one. Nothing is thrown away: the tracker and all of its past scans are kept, so if you put that ASIN back later it resumes its own history instead of starting from zero. Rotating your priority ASINs through the slots is the intended way to use them.

Each report tool has its own separate count: spending your ads audits doesn't affect your profit reports.

This covers the ads audit, search query audit, profit report, returns report, inventory plan, image audit, AI intent audit, and niche analysis. Reverse ASIN and the Listing Generator have their own separate allowances, and AMC Insights (Enterprise) has no per-run quota at all. The free trial includes one run of each (two for reverse ASIN).

Category baseline runs on the AI intent audit page have a separate allowance: 5 on Pro, 15 on Brand, and 50 on Enterprise.

Can my team or agency share an account?

Yes. Brand seats 3 people in total, Enterprise seats 10, and larger teams can be arranged (Pro and the free trial are single-user). Each teammate signs in with their own login in one of two roles: admin — can run analyses and approve advertising changes — or viewer — read-only. Every approval is recorded under the person who made it.

Invite teammates from the Team card on your Connections page. Agencies work the same way in reverse: each client keeps their own OptimalCentral account, invites the agency in, and the agency switches between client workspaces from the top bar. Belonging to more than one client workspace is part of the Enterprise plan; a teammate in a single workspace needs no plan of their own. A pending invite occupies a seat until it's accepted, revoked, or expires after 7 days.

When do quotas reset?

On a paid plan, per-period quotas reset at the start of each billing period; free-trial allowances cover the whole 14-day trial.

Concurrent slots (tracked ASINs, tracked keywords, monitored products, active automation rules) don't reset on a schedule. They free up the moment you delete an item, so you can swap what you're tracking whenever you want.

I hit a limit mid-period. What now?

Switch plans from your Plan & billing page. On an existing subscription the new limits apply immediately, and Stripe bills or credits the prorated difference for the rest of the current period. From the free trial, you check out through Stripe and your plan starts once checkout completes.

Scans & timing

When things run, and how long they take.

When do the weekly scans run?

The AEO Tracker and the Keyword Rank Tracker both scan once a week, early Monday UTC (Sunday night US Eastern time). Product Monitor ASINs are scanned in the same weekly run, and some are also checked every morning at 6 AM US Eastern: the first 10 on Brand, the first 25 on Enterprise (whose first 5 are checked again at 6 PM), and the first 2 during the free trial.

Rank Tracker keywords and Product Monitor ASINs are also scanned once when you add them, so you don't have to wait until Monday for a first data point; AEO Tracker ASINs aren't scanned automatically when you add them: press Scan now for a first result (once every 3 days per ASIN), or wait for the weekly scan.

On the Brand plan and above, and during the free trial, a connected Amazon Ads account syncs every morning at 6 AM US Eastern.

How long does a report take?

A listing audit takes about two minutes. Reports pulled from your Amazon account take a few minutes to arrive, and a long profit report window, up to 365 days, can take longer. An ads audit usually takes about ten minutes, because Amazon prepares the performance reports before the analysis starts. AMC Insights (Enterprise) runs nine analyses against your own AMC instance and typically takes a few minutes.

You can leave the page. Results are saved to your dashboard, and re-opening a past run is always free — it never uses quota.

What changes when you connect, and what we will never do without you.

What does connecting my ads account unlock?

On every plan, the Ads Audit, which reads the most recent 30 days of your campaigns whose orders Amazon has finished attributing, straight from the account, and lays out every proposed change, with a change file you can upload yourself. On Brand and above, and during the free trial, also applying the changes you approve straight to your account, creating campaigns directly in your account (they start paused), a daily monitor that syncs each morning and alerts you to ACOS deterioration, spend spikes, and keywords or targets spending with no orders, plus ads dashboards and the automation rules engine for dayparting, negative keywords, low-stock ad pauses, bid, and budget management. On Enterprise, AMC Insights too.

The tools built on your seller data (the Profit Dashboard, Returns & Restock, the Inventory Planner, the Reimbursement Finder, listing fixes, the Repricer, Auto Review Request and Buyer Messages) need your Amazon Seller account connected instead, and low-stock ad pauses need both, because the stock counts come from the Seller connection. The ASIN-based tools need no connection at all, and neither does uploading a Search Query Performance export.

Will automation rules change my ad account by themselves?

Only the rules you authorize. Bid and budget rules never write to your account on their own. They calculate a proposal, and nothing is sent to Amazon until you review the proposed changes and approve them item by item, and you can edit any proposed value within the rule's floor and ceiling before approving.

Three rule types can run unattended, and only after you confirm a separate one-time written authorization for that rule: dayparting on the campaigns and weekly schedule you choose, exact-match negative keywords that match your rule, and out-of-stock and low-stock pausing on the campaigns you pick (a product counts as out of stock at zero fulfillable FBA units, or at a low-stock floor you set of up to 50; a campaign is paused while everything it advertises is at or below that line, or just that product's ad while others are still in stock, and re-enabled when stock returns, if this rule was the one that paused it). Dayparting, negative keywords and stock pauses each have their own daily cap, every rule counts toward an overall daily write limit, and editing the rule immediately voids its authorization until you sign off again.

On top of that: every rule starts in preview mode and can't go live until a preview has run on its current settings, bid rules require a floor and a ceiling and budget increases require a ceiling, every change is logged, and if your ad account is disconnected all rules freeze.

How do I disconnect?

Disconnect at any time from the Connections page (or the Ads Audit page). Your stored Amazon Ads authorization is deleted and every automation rule pauses immediately, so nothing keeps running against your ad account; past audits are kept. Your Seller account connection is separate and has its own Disconnect link.

Billing & account

Plan changes, cancellation, refunds.

How do I upgrade, downgrade, or cancel?

All self-serve from your Plan & billing page: pick a new plan there, or open the secure Stripe billing portal to update your card, view invoices, or cancel.

Cancellation takes effect at the end of your current billing period, and you keep full access until that date.

Can I get a refund?

We don't give prorated refunds for unused time on monthly plans. On an annual plan, if you cancel within 14 days of a renewal charge, you can request a full refund for that renewal: contact support and we'll process it. A fully refunded renewal ends your access at once.

Do I get charged during the trial?

No. The trial takes no credit card, and nothing is charged unless you pick a plan and subscribe. If you subscribe with more than two days of the trial left, your first charge waits until the trial ends.

Your data

What we keep, what we don't.

What happens to the files I upload?

The one report you can still upload, the Search Query Performance export, is analyzed and then discarded; we never store the raw file. Two uploads are kept because the tool needs them later: product photos you add to the Listing Generator are stored with that draft, and a warranty PDF you upload to Buyer Messages is stored so it can be attached to each order's message, until you delete it.

What persists is the finished report we generated for you, plus small settings you deliberately save, such as per-SKU product costs. Some connected-account features keep what they sync so they can show changes over time; for example, on the Brand plan and above, and during the free trial, the nightly profit sync keeps your transaction rows so reports can be built without pulling again.

Is OptimalCentral affiliated with Amazon?

No. OptimalCentral is operated by Optimal Inc. and is not affiliated with, endorsed by, or sponsored by Amazon.

That independence is the point. Amazon's own free tools grade Amazon's homework, and they're optimizing for Amazon's interests: ad revenue, marketplace experience. We answer only to the seller.
